Your first attempt at deleting an email message rarely actually deletes it. Most email programs, such as Gmail, Yahoo or Outlook, simply move the deleted email to a trash folder that permanently erases the email only after a certain length of time.
Under any scenario, you are trusting your email provider to respect the choices you are making, that if you delete an email, and even remove it from the trash folder or all-mail folder, that a copy of it no longer exists on some back-up server that your email provider maintains.
Email is automatically deleted from your Deleted Items folder after 30 days. Items removed from your Deleted Items folder are recoverable for 30 days. Junk email is retained for 30 days before it is automatically deleted.
If you delete an email, the service won't retrieve it from their backups for you. However, they could get a court order to retrieve an email from their backup. This means even if you've completely deleted an email, the service could possibly recover it from the backups they took before you deleted it.
The good news here is that for the most part, hackers can't access emails that are deleted permanently from the Trash folder. However, email ISPs keep backup copies of client inboxes, and in some cases these deleted messages can be retrieved, usually through a court order.
This is between 1 to 7 years, although some email data may need to be kept indefinitely. The Payment Card Industry Data Security Standard (PCI DSS) requires email data to be kept for 1 year, whereas HIPAA, SOX, and the Gramm-Leach-Bliley Act require certain types of email data to be retained for 7 years.
It is not technically "deleted." Although the operating system can't find it anymore, a copy of it is still accessible through your hard drive. Depending on your hardware, the data stored on your hard drive can either remain intact or in smaller pieces if a user tries to retrieve them after some time.
Select the AutoArchive tab and select Archive this folder using this settings. In Clean out items older than, enter 180 days, or whatever the desired amount of days/months/years may be. Select the Permanently delete old items option.

Deleting removes emails from your inbox. It does save up space, but you won't be able to ever again access your emails. This puts you at risk both in financial and legal terms. You won't be able to produce evidence for ediscovery and litigation.
When you delete a message, it's saved in your Trash for 30 days, after which it's permanently erased. When you delete an email from iCloud.com, it's deleted on all your devices that have Mail turned on in iCloud settings. You can also change where your deleted messages are stored.
Messages you archived aren't deleted, and you can access them at any time. Gmail keeps your archived emails indefinitely or until you delete them. Only messages that are deleted are removed from the Trash after 30 days.
The default period for your Draft and Inbox items is six months, and three months for your Sent Items, but you can change these periods using the Clean out items older than option.
After 30 days, the data is permanently removed.
If you've permanently deleted an item in Microsoft Outlook or Outlook on the web (formerly known as Outlook Web App), the item is moved to a folder (Recoverable Items > Deletions) and kept there for 14 days, by default. You can change how long items are kept, up to a maximum of 30 days.
In most cases, deleted items become unrecoverable after 30 days from deletion. Ultimately, the duration for which data can last in your mailbox is determined by the Microsoft 365 retention policy. Using the Microsoft 365 retention policy, you can keep your emails on Outlook until you permanently delete them.
You can even search by how old emails are. If you type older_than:1y , you'll see all the Gmail emails older than 1 year. You can use m for months or d for days. If you want to delete them all, click the Check all box, then click Select all conversations that match this search followed by the Delete button.
Check the Deleted Items folder
If you don't see the message in the Deleted Items folder, the message might have been removed but is still recoverable. In Deleted Items, above the message list, select Recover items deleted from this folder. If you find the message, select it and then select Restore.
"If it's for national security, they will open it up, if they want it, they will find it." When you delete a piece of data from your device — a photo, video, text or document — it doesn't vanish. Instead, your device labels that space as available to be overwritten by new information.
Use the right-click menu. Here's how to permanently delete files through the right-click context menu: Select the file or folder you want to permanently delete, right-click it, and choose Delete. Then, right-click the Recycle Bin on your desktop and select Empty Recycle Bin.
At the top of your inbox, above the message list, select the check box. Above the message list, select Delete. All the email in your inbox will be moved to the Deleted Items folder. To permanently delete the messages, right-click the Deleted Items folder and select Delete all.
To find old emails in Outlook by date, open the “Search” tab and click on the “Advanced Search” option. Then, select the mailbox you want to search in and enter the date range you want to search for. Click on the “Search” button, and all the emails from that date range will appear.
