Use the Notes field for location changes. However, there is a way to trick Outlook into thinking the update was sent: set Outlook offline before sending the update, then open the Outbox and delete the update before going back online.
The first step is to open Outlook, and click Calendar at the left sidebar. Click the Calendar at the right hand side. Click Edit in the pop up. Make the changes you want.
When you open a recurring item, Outlook will ask you if you want to reschedule the entire series or “Just This One.” If you select “Just This One,” the single meeting window will open, and you will be able to set a new time and save changes.
When you open a recurring appointment, meeting, or event, Outlook will ask you if you want to open just this one event or the entire series of events. If you'd like to edit a single instance of a recurring item, select Just this one. Otherwise, select The entire series.
If you need to keep the event history and exceptions, export your calendar to Excel and import it back into Outlook. Because Outlook can't export recurring appointments, this will create individual items for each date and preserve the dates of the exceptions.
Things come up and sometimes you have to cancel a meeting. By canceling a meeting in Microsoft Outlook you are able to let all attendees know that the meeting is canceled. Note: The meeting including any meeting agenda, notes and attachments is deleted from Outlook.
As a delegate, you can also edit or cancel meetings on behalf of the calendar owner. To do so, open the calendar event, make the changes, and select the option to send the updated or canceled meeting invitation. The meeting update or cancellation will be sent from you on behalf of the calendar owner.
Viewing the QAT
The QAT appears above the Ribbon by default, though you can easily display it below the Ribbon. If you don't see it, you may need to enable it. In any of the Office suite software go to File – Options – Quick Access Toolbar.
On the Meeting tab, in the Attendees section click the Responses button. Here disable the options "Requests Responses" and "Allow New Time Proposals". Disable “Request Responses” when composing a meeting request with the Simplified Ribbon enabled (Microsoft 365).
In the “Send Update to Attendees” dialog box, choose “Send updates only to added or deleted attendees” and click “OK.”
Modify a meeting request or appointment
In the calendar, select the calendar event, and then select Edit. If this is a recurring meeting or appointment, you will also have to choose one of the following: This event: Choose this option to open and make changes to the event you've selected in the calendar.
In your calendar, Appointments are just for you, Meetings are to invite people to. For a meeting, select New Meeting. Add people in the To field, and then enter a Subject and Location. Select a Start time and End time.
The inability to remove an event in Outlook may be the result of a temporary error in Outlook. Restart Outlook and try deleting the event again. If it still won't delete, reset the calendar view. Open the calendar from which you want to delete the event, and then click the "Work Week" button.
With a recurring event, you cannot edit or delete any of the occurrences individually. In contrast, event series allows you to create a mass of events at one time and then edit or delete them individually. This is because a recurring event is one event that occurs multiple times.
