Go to the Office 365 Calendar, click your name in the top right corner, and select Open another mailbox from the drop-down list. Enter in the resource name, and click Open. The resource account opens in a new tab. Navigate to the resource account Calendar, and right-click on Calendar, select Sharing and permissions.
Click the File tab. Click Account Settings, and then click Delegate Access. Click the name of the delegate for whom you want to change access to your private appointments, and then click Permissions. Select the Delegate can see my private items check box.
From your Calendar folder, on the Home menu, select Share Calendar. Choose the calendar you want to share from the drop-down menu. In the Calendar Properties dialog box, click Add. You can search for people from your address book or type in their email addresses in the Add box.
In the admin center, go to the Users > Active users page. Select the user you want, expand Mail Settings, and then select Edit next to Mailbox permissions. Next to Read and manage, select Edit. Select Add permissions, then choose the name of the user or users that you want to allow to read email from this mailbox.
To make sure the room, equipment, and people you've invited are available, select Scheduling Assistant at the top. Then select an available time in the calendar. In the scheduling calendar, blue means the room or equipment is reserved, or busy. Select the white, or free, area on the calendar.
Use the Room Finder
In a new meeting, select the Scheduling Assistant button on the ribbon. Select the Room Finder button to the right of the Location field or select Browse with Room Finder at the bottom in the list of suggested locations. Use the Show a room list drop-down to pick a list of rooms.
Room mailboxes are assigned to a meeting location, such as a conference room, auditorium, or training room. Equipment mailboxes are assigned to a resource that is not location specific, such as a portable computer projector, microphone, or company car.
Rooms must belong to a room list set up by the Microsoft Exchange or Microsoft Office 365 administrator. If a room hasn't been properly added to a list, it will not show on the Outlook Client.
If the Share Calendar button is grayed out or unavailable in your Outlook, most likely you do not have an Exchange account, or your network administrator has disabled calendar sharing for your account.
In Calendar, right-click your calendar and select Properties. Select the Permissions tab. The current assigned permissions on your calendar will be displayed.
Colleagues with the can edit permission level in Outlook can add, remove or add appointments in your calendar. The difference with the delegate permission is that they don't receive the meeting requests and meeting invite responses for you.
The Get-MailboxFolderPermission command is used to view existing permissions. The Remove-MailboxFolderPermission is used to remove existing permissions. Add-MailboxFolderPermission is used to add NEW permissions to a calendar and Set-MailboxFolderPermission is used to modify EXISTING permissions on the calendar.
As an administrator, you can control how much calendar information people in your organization can share with users external to your organization. You can also set the default level of sharing for users within your organization.
Rooms - An account representing the availability of a particular classroom, conference room, or other space to be reserved. Equipment - An account representing the availability of a particular laptop, projector, vacation/calendar, or other non-room based calendar to be reserved.
When you convert a regular (user) mailbox to a room, equipment, or shared mailbox, the associated account is disabled. For room mailboxes, you can enable the associated user account, which also requires you to specify a password (which requires the Reset Password role).
There are two kinds of resource mailboxes. Room mailboxes let you manage fixed locations such as meeting rooms. Equipment mailboxes are for resources that are not tied to specific locations but need to be reserved. The way the two work is almost the same.
Click the Calendar icon at the bottom of your Outlook screen to open the calendar view. 2. Locate the section labeled My Calendars on the left side of the window. If you do not see any rooms: • Click on “Open Calendar” on the ribbon • Select “From Room List” This will pull up the meeting rooms.
